Program Support Assistant

-Performs and monitors established administrative management requirements for programs which entail well established administrative prerequisites and responsibilities. Management of routine and reoccurring Graduate Medical Education (GME), Allied Health Program (AHP), and other health trainee events. Applies administrative policies and procedures, maintains various systems, coordinates travel and other staff administrative requirements. -The incumbent helps ensure that the respective polices (both local and national) are followed to inform and advise the ACOS/E of program and policy updates and assist to incorporate these into local directives. Incumbent will correspond with external and internal parties to determine time allocations of trainees. Properly recording time allocations and monitoring disbursement of funds to the sponsoring institution. Incumbent will conduct reviews of those accrediting organizations which exercise oversight of health profession trainee programs at Tomah V AMC facilities including Accreditation Council on Graduate Medical Education (ACGME), VA Office of Academic Affiliations (OAA) policies, regulations, directives and guidelines, assisting ACOS/E in completion of OAA required reports, activities audits and allocations. -The incumbent composes correspondence and reports maintaining contact orally and in writing, to maintain collaboration and connection with academic affiliates, V ACO regulatory and/or governmental and non governmental organizations necessary for program management. -The incumbent composes correspondence and reports, prepares memoranda, agendas, schedules, charts, data, contracts and program materials. Maintains contact with incoming and outgoing health profession trainees for the purposes of smooth credentialing and orientation to medical education academic affiliates. Incumbent coordinates support and resources for travel, educational leave and billing. Incumbent will implement, maintain and manage a SharePoint or successor database document management system to facilitate documentation and version tracking and management. -The incumbent represents the facility Designated Educational Officer or ACOS at meetings attended by representatives of various medical and non-medical services. The incumbent provides assistance maintaining affiliation agreements with approved educational programs to ensure to those academic programs remain viable and current. -The incumbent prepares Accrediting Council for Continuing Medical Education (ACCME) materials for accreditation surveys in conjunction with the ACOS/E and the CME/PEC Committee. Analysis of program performance, detailed systematic assessments of how our CME programs meet ACCME accreditation requirements, must verbalize how processes are designed to maintain compliance with VA and ACCME regulations/requirements, and a balanced analysis of how and why specific programs were implemented to optimally address identified professional practice gaps. -The incumbent identifies opportunities for program development, from liaisons with CME staff at facility academic affiliates, the VA Employee Education Services (ESS), and other facilities. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Knowledge of computer and database applications to update and maintain program data and program information including SharePoint, version tracking and document control. Prepare correspondence and reports, makes recommendations to improve coordination, planning, administration and management. Knowledge of grammar, spelling, punctuation, and required formats enough to recognize and correct such error in correspondence and reports. Knowledge of the organization and operational functions of the office, enough to answer questions concerning program policies, procedures, and activities, and to maintain appropriate communication flow through the ACOS for Education and Research. Knowledge of and experience in academic institutions. The incumbent maintains up-to-date knowledge of evolving CME requirements from VA, Wisconsin Medical Society, ESS and ACCME and ensures the facility CME programs meet those requirements. Incumbent should possess skill in applying analytical tools and techniques to identify, analyze and recommend solutions to problems in organizational structure, administrative workflow, administrative procedures, automation requirements and communication. Skills in organization and office operations enough to effectively manage diverse materials. Skilled in time management and establishing work priorities, enough to meet all deadlines in a timely manner. Knowledge of procedures for making travel and conference arrangements. . OR, Education:
